Towards this, we are currently seeking someone with the maturity, experience and professionalism to ensure the smooth flow of our clinic's daily operations and client experience.
Your Key Responsibilities:
- Creating a safe and welcoming experience for everyone who walks through our doors.
- Have the confidence to greet clients and respond to their inquires.
- Managing client records with accuracy and confidentiality.
- Scheduling and managing appointments for new and ongoing clients.
- Processing payments and invoices.
- Managing the schedule of 6-8 psychologists.
- Providing valuable administrative support to our dedicated team of psychologists.
- Understanding and executing the GP Mental Health Systems (i.e., Medicare codes, queries etc.)
- Ensuring all paperwork are up to date for appropriate Medicare claims.
What You Will Bring:
- Supportive and reliable work ethic, including a passion for the role and to contribute to the clinic's growth.
- High level of attention to details.
- Exceptional organisational and multitasking abilities, allowing you to manage your workload efficiently and with a smile.
- Ability to prioritise workload effectively and in a timely manner.
- Clear and professional verbal and written communication.
- Solid computer skills with initiative to problem solve software/computer glitches.
- A proactive, "can-do" attitude.
- The ability to stay calm, composed and effective, even when things get busy.
- Availability 2 days/ week (9am - 4.30pm), and with the capacity and flexibility to take on more hours if required (e.g., to cover for our other receptionist's sick leave or holidays). No weekends required.
- A desire to establish a long-term career in this role and with this team.
- Ideally residing at a suburb close to Fremantle to ensure easy & reliable commute to work.
- Minimum 1-2 years of administrative experience in a professional environment.
Bonus Points if you have:
- Experience in a healthcare or psychology practice, especially familiarity with Medicare systems (like GP Mental Health Treatment Plans) and the Halaxy practice management software.
- Current or willing-to-obtain Working with Children Check
